Converting Your PLCs for Import

Schools provide PLCs in various formats. Here's how to convert them into the spreadsheet format PLC Tracker needs.

Common PLC Formats from Schools

The Format We Need

Your spreadsheet needs exactly 3 columns in this order

table_chart The 3 Required Columns

Column A: Topic Column B: Sub-Topic Column C: Revision Item
Number Place Value Read, write and order numbers to 10 million
Number Place Value Round numbers to a required degree of accuracy
Number Calculations Add and subtract whole numbers and decimals
Algebra Expressions Simplify algebraic expressions by collecting like terms

Important: Every row must have all three columns filled in. The Topic and Sub-Topic will repeat for each item that belongs to them. This repetition is what allows us to group your items correctly.

tab Multiple Subjects? Use Multiple Sheets!

If you have multiple subjects to import, you can put each one on a separate sheet in the same Excel file. We'll automatically use the sheet name as the subject name.

Each sheet should have the same 3-column format. When you import, all subjects will be added at once!

How to Convert Your PLC

Choose the method that works best for your source document

content_copy Copy & Paste Method

For Word documents and PDFs:

  • Open your PLC and the Excel template side by side
  • Select and copy topics from your PLC
  • Paste into the appropriate column
  • Use "Fill Down" (Ctrl+D) to repeat topics

If your school's PLC is already in Excel:

  • Rearrange columns to match our format
  • Delete any extra columns (dates, tick boxes, etc.)
  • Fill in repeated Topic/Sub-Topic values
  • Remove header rows and empty rows

For complex or poorly formatted PLCs:

  • Create a fresh spreadsheet with 3 columns
  • Type or paste items one by one
  • Group similar items under the same Topic/Sub-Topic
  • Takes longer but gives you full control

cloud_upload PDF Text Extraction

For PDF documents:

  • Try selecting and copying text from the PDF
  • Use online PDF-to-Excel converters
  • Some PDFs are images - these need retyping or AI help

Let AI Do the Work

AI tools can convert your documents automatically

Modern AI assistants like ChatGPT, Claude, or Google Gemini can take your PLC document and convert it to our required format. This is often the fastest method for complex documents.

Example prompt:

"Please convert this PLC document into a spreadsheet with exactly 3 columns: Topic, Sub-Topic, and Item. Each row should have all three values filled in (repeat the Topic and Sub-Topic for each item that belongs to them). Output as a CSV or Excel file."

lightbulb Tip: If the AI gives you a table in text format, you can usually copy and paste it directly into Excel/Google Sheets.
